What is Contract Delivery Reporting?

HolisTech’s® Contract Management Service (CMS) provides enterprises and Government departments an end to end contract management service from when the Contract is let through to Contract closure. It provides both customer and supplier an independent and thorough means of ensuring proper and complete delivery and a formal change management process to ensure each contract is up to date and understood by all parties at all times.

This particular element is the contract delivery reporting service of the CMS where HolisTech® will report against all contract deliverables inclusive of products and services.

Contract delivery reporting might include:

• After an audit of a grounds maintenance contract has been completed (it might be audited on a monthly basis for example), the results of that audit are placed into the reporting tool and made available to whomever our customer considers appropriate. This might include the contractor or supplier.
• All audits are retained and aggregated across all contracts, requirements and/or clauses to generate contract performance metrics. These can then be used in periodic reviews of contract performance and for consideration when contract renewal might be involved.
• If the supplier / contractor is permitted to review the results, they could be provided with the opportunity to comment on the audit or to clarify issues of non-compliance raised in the report.
• If a contract has performance bonuses included, the award or rejection of the bonus can be determined by the metrics generated in the reporting.

• An organisation seeking better and more complete contract management for the contracts it lets and requiring robust justification for repeat use of particular suppliers.
• A government department seeking better governance mechanisms in its contract management by understanding delivery performance against its existing contracts.

Benefits of Using Contract Delivery Reporting

A supplier sought to enact the follow-on clause in a service contract. However, it was unable to demonstrate performance against that contract except by a low incidence of complaints. It had no other metrics by which to convince the client. Nor was the client monitoring delivery sufficiently to permit it to make a judgement of the claims of the supplier. Accordingly, the service was tendered again and the current supplier lost due partially to the winning tenderer being able to comprehensively illustrate past performance on other contracts.
